Why a written fire safety policy matters

 Under the Regulatory Reform (Fire Safety) Order 2005, the Responsible Person must put in place arrangements for the effective planning, organisation, control, monitoring and review of fire safety. A written policy is the backbone of those arrangements. It defines who does what, when, and how, proving to insurers, auditors and enforcing authorities that your controls are intentional—not accidental. 

 

We build policies that:


  • Satisfy UK legislation (including the Fire Safety Act 2021 and Fire Safety (England) Regulations 2022 where relevant).
     
  • Reflect your FRA findings, premises type and operational risks.

What’s included in our fire safety policy

 Every policy is tailored, but commonly includes:

  • Policy statement & scope – commitment to life safety and legal compliance.
     
  • Roles & responsibilities – Responsible Person, fire wardens/marshals, managers, reception/security, night staff, contractors and tenants.
     
  • Risk control measures – housekeeping, storage, hot works/permit-to-work, lone working, lithium-ion charging areas, kitchens, plant/servers, visitors and events.
     
  • Maintenance & testing – schedules and records for alarms (BS 5839-1/6), emergency lighting (BS 5266-1), extinguishers (BS 5306-3), smoke control/AOV where present, and fire doors/compartmentation checks.
     
  • Training & drills – induction, refresher cycles, fire marshal competence, evacuation exercises and post-drill reviews.
     
  • Evacuation procedures – alerting, sweep/roll-call/refuge use, PEEPs/temporary PEEPs, assembly points, re-entry controls and incident reporting.
     
  • Information, instruction & signage – how staff, contractors, residents and visitors are informed (including fire action notices and evacuation plans).
     
  • Record-keeping – logbook structure, certificates, remedial tracking and management review.
     
  • Review & change control – when and how the policy is updated (annual or on significant change).

  • Aftercare – We can refresh training, run a first drill, and schedule your annual review.

For most employers and building controllers, yes—because the law requires arrangements for planning, organisation, control, monitoring and review. A written policy evidences those arrangements and ties them to your Fire Risk Assessment, training and maintenance records. 


 Absolutely. We’ll review your FRA certificates and site arrangements, then revise your policy to current legislation and British Standards. We keep what works, fix gaps, and remove contradictions—often the fastest, most cost-effective route. 


At least annually, and sooner after layout/process changes, headcount shifts, new equipment (e.g., lithium-ion charging areas), or any fire/near miss. We can organise reminders and provide interim checks so compliance doesn’t drift. 


 You’ll get PDF and editable Word versions, plus a logbook template and briefing slides. We can also provide a short one-page fire action plan for noticeboards and integrate your evacuation plans for quick reference.
